A packet for the 2023 BVOA annual meeting has been mailed to all homeowners. It contains the following: the meeting notice with agenda and the proxy form. If you need a new copy of any of these documents, you can download the following PDFs.
To attend the annual meeting, homeowners are required to REGISTER IN ADVANCE.
The link provided in the meeting notice:
https://us02web.zoom.us/meeting/register/tZwpcuihqT4jH9ZTI20BPX4C5qTtiHdUinPK
is NOT the meeting link… it is the link to register for the meeting.
Registering is quick and easy! During registration you will be asked to provide your: Name, Email and Villa#. After registering, you will be sent a link to use to attend the meeting. This meeting link is specific to you and cannot be shared.
BVOA is requiring attendees to register to allow the BVOA to take attendance for the meeting and ensure that quorum is established.
In the meeting, voting will be done using the Zoom polling feature.
There is 1 vote allowed per share. If you have multiple people from your Villa attending the AGM, please pick a designated person from your party to vote.
NOTE: If you are using your iOS or Android device to attend the meeting, please use the Zoom app (do not dial in using a phone number). This will ensure that you can vote using the polling feature.
By default, all attendees will be muted. This will ensure that everyone can hear the speaker. BVOA asks that you not unmute yourself while the speaker is presenting their topic. After each speaker has finished, there will be time for questions.
You can ask a question in one of two ways:
Note that for a proxy to be valid, it must be received at the BVOA office no later than 11:00 AM on Thursday, March 11, 2021, 48 hours in advance of the meeting. Proxies can be sent via email (bvoatc@gmail.com), via fax (603-528-5931), or hand delivered to the BVOA office.
Why do I have to register?… It’s an extra step.
The BVOA is requiring homeowners to register to allow the BVOA to take attendance for the meeting and trak voting on any of the motions put forward. This helps ensure that quorum is established which is needed for voting at the meeting. At an in-person meeting, homeowners are asked to sign an attendance sheet. Registration is the “online equivalent” of this sheet and has the added benefit of being able to be done ahead of time.
Will the meeting be video taped?
Yes, the meeting will be recorded.
When can I pre-register?
Registration will open as soon as the notices have been mailed to homeowners. Registration CLOSES at 9:00am EST on March 13th to allow the board time to prepare the attendance list before the meeting. Please ensure you have registered by this time. BVOA will send a reminder email prior to registration closing.
